Automations
Automations let you chain steps into a workflow, such as “every morning at 8, pull the open to-dos and email a summary” or “when someone submits a form, have their manager approve it first, then add a row to a table”. Open it from the menu AI › Automations.
AI agents that keep working on an ongoing basis live on the Agents page.
How to
Create a workflow
- Go to Automations and press New workflow.
- Set the Workflow name.
- Press Steps to open the list of steps, then Start with a trigger.
- Add the steps that should follow, and drag a line from one step to the next to connect them.
- Click each step to set it up. Fields marked “supports {{}}” can take values from earlier steps, e.g.
{{input.status}}. - Press Save.
Let the AI draft it
In the workflow editor, describe in plain language what the workflow should do, then press Draft steps (or ⌘/Ctrl+Enter). The AI drafts the flow for you — check each step before you run it. If there is already a flow, you are asked before it is replaced.
Triggers: when a workflow starts
| Trigger | Starts when |
|---|---|
| Manual | You press Run now yourself |
| Schedule | The time set with cron arrives, e.g. 0 8 * * * = every day at 8:00 (the default time zone is Asia/Bangkok) |
| App Event | Something happens in the app: a to-do is created, a to-do is done, a goal is reached, a row in a table is added or changed, someone submits or edits a form answer — you can limit it to one table or form |
| Webhook | Another system calls in with an HTTP POST |
Steps you can use
- Tasks & Goals — Create Task, Get Tasks, Update Task, Create Goal, Update Goal
- Matrix (tables) — Add Row, Update Row, Find Rows
- Knowledge — Create Knowledge Node, Get Knowledge Nodes, Create Knowledge Edge
- Logic — If / Condition, Set Data, Wait (up to 30 days), Run Code (Python)
- People & agents — Ask a person, Ask an agent
- Integrations & AI — Send Email, HTTP Request, Send Notification (Discord / Slack / LINE via webhook), LLM Prompt, Summarize Text
Turn it on
A new workflow doesn’t run on its own yet. On the list page, flip its switch to Active so its schedule, events and webhook start working. Flip it off (Off) to pause it. A flow that isn’t fully connected or can’t run will not be allowed to turn on.
Run it and see the history
- Press Run now — a run uses the saved version, so save first.
- Press Run history to see every run. Each run is Succeeded, Failed, Running, Waiting or Stopped.
- Choose a run to see each step and its result.
- For a failed run, you can press Resume from the failed step. For a run still in progress, you can press Stop run.
If a run fails, the workflow’s owner is told on LINE (or by email if LINE isn’t linked), with the name of the step that failed.
Have a person decide midway
The Ask a person step pauses the workflow (status Waiting) until someone answers. You can set:
- What to ask for —
approval(approve / reject, which splits into two paths in the flow) orform(fill in the fields you define) - Assign to — one person or a group (in a group, whoever answers first decides). Left blank, it goes to the workflow’s owner.
- Due in how many hours — once it’s past due, the item shows as late
The person gets a notification on LINE or by email, and answers on:
- approval — the Approvals page
- form — the Inbox page (menu Me › Inbox): fill it in and press Send answer. What you’ve already answered is under the Answered tab.
Everyone can open the Inbox page, even if they don’t use automations themselves.
The Ask an agent step sends the work to the chosen agent’s inbox. When the agent finishes, the workflow carries on and the next steps can use its result.
Delete a workflow
Press Delete on the workflow. Its schedule and webhook stop at once, and its run history is deleted too.
You can ask Summy too
- “What automations do we have?” / “How did the morning report automation do on its last run?”
- “Create an automation that emails a summary of open to-dos every Monday at 9” (Summy drafts it, then asks you to confirm before turning it on)
- “Run automation X now”, “Resume the failed run”, “Stop this run”
- “Is anything waiting for me to fill in?” and then answer right in the chat
