Tables

Tables are tables whose columns you design yourself. Use them for the records your organisation needs to keep, such as an equipment register, a list of applicants, or customers and deals. Open them from Workspace › Tables.

Answers from Forms also land as rows in these tables.

Create a table

  1. Click New table
  2. Enter a Table name, such as Equipment register, and What is kept here (optional)
  3. Click Add column, enter a Column name and choose a Type. Tick Required if every row must fill it in
  4. Click New table

The first text column is used as each row’s name. Only people with permission to design tables can create and design them.

The column types are: Short text, Long text, Number, Currency, Yes/No, Date, Date & time, Choice (enter the choices separated by commas; you can allow more than one), Person, Email, Phone, Link, Files and Link to another table.

Add and edit rows

  1. Open the table, click Add row and fill in the new row (Enter to add · Esc to cancel)
  2. Click Open row to see and edit the whole row in the side panel, then click Save
  3. In a Files column, click Attach a file once the row has been added
  4. In a Link to another table column, click Pick rows to link it to rows in another table
  5. To delete a row, open its panel and click Remove row

Use the Search rows box to find data.

Import and export CSV

  • CSV import: the first line must be the column names as the table shows them. Every row is checked, and if any row fails, nothing is imported
  • Export CSV downloads the whole table

View history

  • In the row panel, the History tab lists each change to the row — Created, Edit or Restore — with when it happened, who did it and where it came from, such as In the table, By AI, From a form, CSV import or By an automation
  • The row panel also shows which rows in other tables it is Linked from
  • The Changes to the columns menu shows columns being added, removed and edited

Arrange columns

From the Columns menu you can add, edit, reorder (Move up / Move down) or Hide column.

If you Remove column, the values stay in each row and come back if you add a column with the same key again.

Have rows go through approval

Use a status column in the table as an approval request, for example Status: Waiting / Approved / Refused.

  1. Add a Choice column with values for waiting, approved and refused
  2. Open the table’s Approval menu
  3. Choose the Status column, then set which value Means waiting, which Means approved and which Means refused
  4. Click Save

When a row is set to the waiting value, the table’s owner is asked on the Approvals page. Once they decide, the approved or refused value is written in automatically; nobody else can pick those values themselves. Only the table’s owner can change this setting. Click Turn off to stop using it.

Sharing and connections

  • From the More menu, choose Share with everyone or Stop sharing (a private table shows Only you)
  • Under the table’s name you can see what it is Connected to: forms that send their answers to this table, and Automations that work with it
  • Delete a table with Delete table. The table and all its rows go to the trash and can be restored

Systems (linked tables)

Sets of tables designed by Summy or an agent appear under Systems — linked tables. You can open one to see What was asked for and How the tables link. Deleting a system moves every table in it to the trash.

The Who made it filter separates tables Made by people from those Made by AI.

You can ask Summy too

  • “Set up a system for tracking customers and deals” — Summy designs several tables, with the links between them, in one go
  • Create a table, or add, edit or remove columns
  • Search and filter rows, add, edit and delete rows, and attach files to rows
  • See a table’s structure, and set up approval for a table
