Connect your Microsoft 365
If your company uses Microsoft 365, you can connect your own account to Colab and then open files in OneDrive and SharePoint straight from the Files page. Colab works on your behalf with your own Microsoft permissions, so it only sees what you can already open. Files stay in Microsoft 365 and are not copied until you say so.
This connection belongs to each person. It is separate from the company-wide setup that administrators do in Integrations.
Connect
- Go to Workspace › Files in the menu
- Open the OneDrive or SharePoint tab
- Press Connect Microsoft 365
- Sign in with your Microsoft work account and accept the permissions Microsoft asks for
- You are taken back to the Files page. A Microsoft 365 bar at the top shows the connected e-mail and whether both the OneDrive and SharePoint permissions were granted
If Microsoft refuses the connection (usually because SharePoint permissions need your company’s Microsoft administrator to approve them first), go back to the OneDrive tab and press Microsoft refused? Connect OneDrive only.
If the screen says Microsoft 365 is not set up on this server yet, your company has not turned it on yet; an administrator has to set it up first.
Working with files in OneDrive and SharePoint
- OneDrive: just open the folders
- SharePoint: pick a site first (you can use the Find a SharePoint site box), then pick a document library
In each folder you can:
- Press New folder or Upload (or drag files in)
- Click a file to preview it, or press the Actions button at the end of its row to choose Download, Copy to Colab, Rename, Open in Microsoft 365 or Delete
- Deleted files go to the Microsoft 365 recycle bin and can be restored from there
Send files from Colab to Microsoft 365
- On the Files page, press the Actions button of a file in Colab
- Choose Copy to OneDrive, Move to OneDrive, Copy to SharePoint or Move to SharePoint
- Pick the destination folder, then press Copy here or Move here
Move only works for your own files. The system uploads the file to Microsoft, checks it arrived complete, and only then moves the file in Colab to the trash. People you had shared the file with in Colab will no longer see it.
Copy files to OneDrive automatically
If an administrator has turned copying on, your files in Colab are copied into your own OneDrive (a Colab folder) as a backup. You can see and change this in Settings › the Copy my files to OneDrive card.
- If you have not connected Microsoft 365 yet, the files wait until you do
- Tick Don’t send my files to OneDrive if you do not want this
- Deleting in Colab does not delete the copy at Microsoft
When the connection expires
Sometimes Microsoft withdraws the permissions it gave. The screen then says Your Microsoft 365 connection has expired. Press Reconnect and sign in again.
Disconnect
- In the OneDrive or SharePoint tab, press Disconnect on the Microsoft 365 bar at the top
- Confirm. Colab deletes the keys it uses to reach your OneDrive and SharePoint straight away. Files in Microsoft 365 are not touched
- To remove Colab from your Microsoft account as well, go to Microsoft’s My Apps (myapps.microsoft.com)
You can ask Summy too
In LINE or in AI chat you can type, for example:
- “Connect my OneDrive” — Summy sends a Connect Microsoft 365 button to press (in a group, the button goes to your private chat). The button works once, for 10 minutes, and the Microsoft account you connect must use the same e-mail as your Colab account (or the same domain, if your administrator allows it)
- “What files are in the Sales folder in OneDrive?” / “Find the quotation file in SharePoint”
- “Rename this file to …” or “Copy this file into Colab”
- “Delete this file in OneDrive” or “Send this file from Colab to SharePoint” — for these two, Summy sends you a card to press Confirm first, and they only work from a LINE chat
