Notes

Notes is where you write down things you want to keep, such as meeting summaries, ideas or reference information. Sort them into categories, tag them, pin them, attach files and share them with colleagues. Open it from Workspace › Notes in the menu.

The notes on this page are your own. To write notes everyone on a team sees, use the Notes tab of a project.

How to

Write a new note

  1. Click New note.
  2. Enter a title, then type the content in the Start writing… box.
  3. Notes save automatically as you type (it shows Saved). If it shows Not saved yet, keep typing — it retries on its own.

Organise

  • Category — choose a category for the note, or click Manage categories to add, edit or delete categories (deleting a category keeps its notes; they just have no category)
  • Tags — click Add a tag and enter words to search by later
  • Pin — pinned notes always stay at the top
  • Colour mark — give a note a colour so you can tell it apart at a glance
  • Cover image — click Add a cover image

Attach files

  1. Open the note and click Attach a file.
  2. Choose a file from your device. It appears under Attachments, where you can download or remove it.

Search, filter and sort

  • The Search notes box searches titles, text and tags (press / to jump to it)
  • Whose notes — choose Mine, Shared or All
  • Sort by — last edited, date created or title
  • View — List or Cards

Keyboard shortcuts: / search · up/down arrows to move · Enter to open · x to select

Work on several notes at once

  1. Press x or tick the notes you want (or Select all).
  2. Use Move to… to move them into a category, or click Delete.
  3. Notes others shared with you are not moved or deleted — only their owner can do that.

Share a note

  1. Open the note and click Share this note.
  2. Choose people, a group or the whole organisation, then choose View only, Can edit or Co-owner.
  3. The people you shared with see the note under the Shared filter, labelled “Shared by …”. With view-only access they see a Read only label.

Delete and restore

Deleted notes go to the trash. Click Undo in the notification bar to bring one back right away.

Ask Summy too

Summy can read and write your notes, for example:

  • “Take a note: meeting with customer A, agreed to deliver on the 20th”
  • “Add to the customer A meeting note that they asked for a new quotation”
  • “Find notes that mention the lease”
  • “Move this note to the Meetings category” / “Create a category ‘Customers’”
  • “Delete this note”
