Projects

A project is a team’s workspace for one piece of work. Its tasks, milestones, ideas, notes, files and members all live together. Open it from the menu Work › Projects.

How to

Create a project

  1. Go to Projects and press New project.
  2. Enter the project’s name and description, and pick a colour (you can add a cover image later).
  3. Press Create project.

On the list page, you can search with the Search projects… box and choose to show Active / Archived / All.

The parts of a project

Along the top of a project are these sections:

  • Overview — progress, upcoming milestones and recent changes
  • Tasks — four ways to view tasks: List, Board, Gantt and Calendar
  • Plan — Milestones (dates the work is heading for) and Modules (group tasks by part of the work or by team)
  • Library — Notes, Sources, Files and Ideas
  • Activity — a history of who did what in the project
  • Settings — General and Members

Add and manage tasks

  1. Press the Task button at the top right (or type in the Add a task… box in List view and press Enter).
  2. Enter the Task title, Assignee, Status, Priority, Start date and Due date, and optionally choose a Module / Milestone.
  3. In the task window you can add Subtasks, tags and attachments, and set a Reminder.
  4. In Board view, drag a card to another column to change its status.

If an administrator has turned on the AI assistant for the project, the task window has an Expand with AI button that lets the AI write the task’s details from its title.

Fit task statuses to your team

Each project can set its own Task statuses in Settings › General — add, rename and recolour them, and tick Counts as done on the statuses that count towards progress. If you delete a status, its tasks move to the first status.

Ideas, notes and sources

  • Ideas — jot a thought down first, then press Make it a task when it’s ready.
  • Notes — notes in a project are visible to everyone in it, and save automatically as you type.
  • Sources — add web pages, files or notes for the AI to read when it works in this project (press Add a web page, then Fetch and add).
  • Files — drag files in, or click to choose them. Any file type is accepted.

Invite members and set roles

  1. Go to Settings › Members.
  2. Enter an email address under Invite by email, choose a role, then press Send invitation.
  3. A link is sent to that address. People without an account can sign up through the link. If the email can’t be sent, the link is shown so you can copy and send it yourself.
  4. Invitations not yet accepted show as Invited, with their expiry date. You can press Copy the invite link or Cancel invitation.

A project has three roles:

Role What they can do
Owner Everything, including managing members and deleting the project
Editor Add and edit tasks, notes, files and ideas
Viewer View only

Press Remove from project to take someone out — they lose access at once, but the work they did stays.

Reset or delete a project

In Settings › General, under Reset or delete, you can clear just the tasks, ideas, notes, files or milestones, or everything. Clearing deletes permanently and can’t be undone.

For administrators: Run AI and Loom

Administrators who own a project see an AI assistant switch and a Repository for Run AI field in Settings › General. They are for projects that involve writing code. Once a repository is linked, you can press Connect to Loom, and the task window gets a Run AI button and a button to open that task in Loom. Regular users don’t see this section.

You can ask Summy too

Summy can work with projects you are a member of, for example:

  • “What projects are there?” / “Summarise project X for me”
  • “Add a task ‘Prepare the quotation’ to project X, due Friday”
  • “Mark this task as done” / “Assign this task to Somchai”
  • “Add a milestone”, “Note an idea”, “Turn this idea into a task”, “Write a note in the project”
  • “Invite a@company.com to project X as an editor”
  • “What has changed in the project lately?”
